How to add an email signature in Gmail

To add an email signature in Gmail, start in Gmail on a desktop browser if you want styled HTML. Follow the web steps below, then use the mobile section when you send messages from the Gmail app.

Create your Gmail signature on the web

Web setup steps

  1. 1Open Gmail settingsOpen Gmail in a desktop browser, click the gear icon in the top right, and choose See all settings.
  2. 2Find the Signature sectionStay on the General tab and scroll down to Signature.
  3. 3Create a signatureClick Create new, give the signature a name, and click Create.
  4. 4Paste the finished HTMLCopy your finished signature, click inside the editor, and paste it with Cmd+V on Mac or Ctrl+V on Windows. The formatting comes with it.
  5. 5Choose when it appearsUnder Signature defaults, choose the signature for new emails and decide whether replies and forwards should use it.
  6. 6Save and testScroll to the bottom, click Save Changes, and send yourself a test email to check the result.

Set a mobile signature in the Gmail app

Mobile setup steps

  1. 1Open your account settingsIn the Gmail app, open the menu, tap Settings, and choose the account you want to change.
  2. 2Open Mobile signatureTap Mobile signature. On iOS, this may appear as Signature settings.
  3. 3Enter plain textType the text you want for messages sent from the app. This setting is plain text only and does not change your web signature.
  4. 4Choose a short versionLeave the mobile signature off or keep it to a short plain line if you use the full styled signature when sending from a browser.

Add an image or logo to a Gmail signature

Use Gmail's image control when you want the Signature editor itself to contain a logo. This differs from EmailSigStudio's construction: its signatures use table-based HTML and inline CSS with zero required images. A logo is optional and can be hotlinked from your own site if you include one.

Insert an image in Gmail

  1. 1Place the cursorIn the web Signature editor, click where the image or logo should appear.
  2. 2Open the image controlClick the Insert image icon in the editor toolbar.
  3. 3Choose and insert the logoChoose an image source Gmail offers, select the logo, and insert it. Keep the image sized for a narrow email layout.
  4. 4Save the image signatureSave Gmail settings and send a test email.

Note: Send a test after adding a logo. Gmail or recipient settings can hide or delay remote images, so check that the logo loads and the surrounding text stays readable.

Change your Gmail signature

Update an existing signature

  1. 1Return to Gmail SettingsOpen Gmail in a desktop browser, click the gear icon, choose See all settings, and stay on the General tab.
  2. 2Open the existing Signature entryScroll to Signature and select the existing signature you want to change.
  3. 3Edit its textClick in the Signature editor and update the text or formatting you want to change.
  4. 4Save the changeScroll to the bottom of the page and click Save Changes.
  5. 5Send a test emailSend yourself a test email and check that the changed Gmail signature appears as expected.

Paste once, then test the result

Do not rebuild a pasted HTML signature with Gmail's formatting buttons. Paste the finished HTML once and leave the structure intact.

If a test email shows no signature, check which surface sent it before changing the signature. A message sent in a browser and one sent from the Gmail app do not use the same signature setting.

The sign-off text belongs in Gmail's existing Signature editor. Follow the web setup steps for browser mail, or use the mobile setup steps for messages sent from the Gmail app.
