Email signature examples and how to set one up

To make an email signature, prepare your name, role, contact details, and one useful link. In EmailSigStudio, choose a direction, finalise the draft, copy the full styled HTML, paste it into your mail settings, and save it. That is the whole job.

Every example is table-based HTML with inline CSS and no hosted images, the construction EmailSigStudio uses so signatures render the same in Gmail, Outlook, and Apple Mail. All names and companies are fictional.

Start with the details people need. Make the first line easy to identify, then let the rest support it. For a business or company signature, a clear role and organisation usually matter more than extra decoration.

How to edit and format an HTML email signature

To customize the copied HTML, edit the contact details, labels, and link destinations that need to change. Keep the existing table structure and inline CSS in place. Make changes within the existing cells rather than rebuilding the markup, so the exported structure stays suitable for email. When you finish editing, repaste the revised HTML into the mail signature editor and save it.

For Gmail on the web, open Gmail, choose See all settings, and open General. Under Signature, choose Create new, name the signature, and paste the HTML. Under Signature defaults, choose it for new emails and replies or forwards, then choose Save Changes. In Outlook on the web, open Settings, go to Mail, then Compose and reply. Create and name a signature, paste the HTML, choose the default-signature options, and save. New Outlook uses Settings, Accounts, and Signatures. Classic Outlook for Windows uses File, Options, Mail, and Signatures.

If the signature includes a phone number, select the number in the editor, use its link control, and set the destination to tel:+... with the full number. Send a test email, hover over or select the number, and inspect the link target to confirm it is clickable.

Check the type before you send

  • Use Arial first, with sans-serif as the fallback.
  • Send a test through Gmail, Outlook, and Apple Mail on desktop.
  • Check that every line stays legible on mobile devices.

How to create an email signature with a logo

Add an optional logo carefully

  • Keep the optional logo hotlinked from your own site.
  • Add its hosted image reference to the signature HTML without changing the surrounding table structure.
  • Paste the result into Gmail and Outlook, then test the rendered logo.

A practical business signature email example is Best, followed by your name. For corporate email sign-offs, Kind regards, is another clear choice. Keep the role, company, and contact details in the signature block.
